Renting an apartment: contract, inventory and residence paperwork

A clear tenancy needs more than a monthly price. Establish signing authority, payments, the condition of belongings and paperwork responsibilities before bringing in your luggage.

Confirm the signer and the home

Record the address, tower, unit, signer and the capacity in which that person acts. If you are not dealing directly with the owner, ask for the basis of representation or letting authority. Possession of keys alone is not enough reason to transfer money.

The Government Portal's residential lease template is a structural reference, not verification of a private transaction. Match the home description and appendices to the version you will sign. Resolve blank fields and conflicting versions before payment.

Read the deposit alongside the ending terms

Separate rent, deposit, payment dates and receipts. Ask when the deposit will be reconciled, how deductions are supported, how disputed amounts are recorded and what return timing is agreed. Do not assume it automatically substitutes for the final month's rent.

Read renewal, notice, early-ending and checkout provisions together. If the answer is we will decide later, mark it unresolved. Seek explanation and suitable independent advice before committing to unclear clauses or substantial penalties.

Allocate bills and repair responsibilities

Use a two-party table: task / responsible party / supporting document / trigger or date / completion evidence. Include access-card registration, utilities, reporting broken equipment and arranging repairs. Record agreed responsibilities rather than inventing legal obligations.

Ask how to contact someone when the landlord is away and who approves costs before a contractor is booked. For safety-related problems, use the appropriate responsible contact instead of attempting system repairs. Keep relevant invoices and messages in the private tenancy file.

Create an inventory you can compare later

Walk through each room with the handover contact where possible. List supplied items, visible condition, keys or cards and relevant meter readings. Mark equipment that could not be checked. Give photographs a location and date so they can be matched later.

A fictional entry might record an existing scratch on the dining-table edge nearest the balcony. Note the description, image and agreed acknowledgement rather than waiting for checkout to discuss it. Ask how the outgoing comparison is conducted and who can sign it.

Identify the correct residence process

May 2026 Ministry of Public Security instructions distinguish foreigner temporary-stay declaration from Vietnamese-citizen stay notification. Do not treat these, or temporary-residence registration, as an interchangeable process for every tenant.

Ask the competent authority or accommodation contact which procedure matches your status, who supplies information, who submits it, the applicable deadline and what acknowledgement is provided. Send necessary documents only through verified official channels. Do not upload passports, identity cards, contracts or residence confirmations to HAVO.
