Name the payment before comparing it
Ask whether the written request describes a reservation, deposit, instalment or service charge, and identify the document using that description. Do not silently rename the payment because a salesperson uses a more familiar expression. Keep the document title and relevant clause beside your note.
Give separate charges separate rows, even when requested together. Ask which amount counts toward the apartment price and which pays for another service. A payment label helps you ask questions; it does not by itself determine refund rights.
Connect the seller, signer and recipient
Write three names together: the transaction counterparty, the signer and the account holder. If they differ, request the documents explaining each role or authority. Shared branding and a forwarded message cannot answer that question on their own.
In a fictional example, company A issues the request but company B holds the account. That mismatch is an unresolved question, not proof of fraud. Ask the relevant parties for a written explanation and have a qualified adviser examine unclear authority before proceeding.
Complete the payment chain
Use these fields: payment name [ ]; recipient and role [ ]; written authority [ ]; triggering event [ ]; refund conditions [ ]; unanswered question [ ]. Add the amount, due date and document version. Leave unknowns visible rather than filling them with assumptions.
For refunds, ask what circumstances are covered, who must apply, where the request goes and how receipt is acknowledged. Do not write “refundable” on the strength of a reassuring conversation. Preserve differences between spoken explanations and the written terms for review.
Treat a changed request as a new check
A new account, recipient or contractual purpose deserves a fresh check, even if the amount is unchanged. Confirm the change through an independently verified contact channel, rather than relying solely on the message announcing it.
If pressured to transfer immediately, list the unanswered items and request time and supporting documents. Base the next step on the actual paperwork and appropriate advice, not on a sales countdown.
Keep a private payment record
Keep requests, document versions, explanations and any transaction evidence together privately. Name records by date and step so you can reconstruct what informed your decision. Retain earlier versions when revised paperwork arrives.
Share only what is needed through a suitable channel. Do not post account details, signatures, identity documents or a complete contract in public feedback. A saved HAVO note organises a question; it does not certify a payment as safe.
